Setting Up Facility Grid Issues Log Synchronization with Procore

Facility Grid allows to link active projects to Procore and establish an automated/real-time Issues Log synchronization. Once linked, project participants would have a choice of creating and responding to issues in Facility Grid, or creating and commenting on commissioning observations in Procore. All content, including the attached pictures and documents, is synched between the two platforms automatically.

IMPORTANT: If you currently have the Facility Grid App added to the project in Procore, please remove it before proceeding.

NOTE: For the synchronization to work correctly and to ensure that the responsibilities are properly assigned, the project participants in Facility Grid and Procore should match (by email) as much as possible.

NOTE: Facility Grid will send all project issues to Procore, but retrieve observations only with type “Commissioning” from Procore.

Begin by adding Facility Grid App to your project in Procore.

1. Log in to Procore and open the project you’d like to integrate

2. Click on the Apps drop-down and select Marketplace

3. In the Marketplace, search for Facility Grid and follow the prompts to install the App.

4. During the App installation, Procore will prompt to confirm the permissions required by the Facility Grid app.  Click on “Install” to confirm.

5. Procore will display “Installation Successful” message.  Close the message by clicking on the “X” button.

6. On the App Management screen, click “View” next to the Facility Grid app

8. Click on the “Permissions” tab at the top

9. On the right hand side, under “Permitted Projects”, make sure to select all projects that will be integrated with Facility Grid. 

10. Open Facility Grid and navigate to the project you would like to integrate with Procore.

11. On the Settings page, navigate to Issues -> Procore Integration, and click on “Connect”.

12. On the “Procore Integration” pop-up, copy and paste the required URLs and click “Connect”:

a. For Procore Company URL, in Procore, click on the Home button in the top left corner and copy the full URL displayed by your browser

b. For Procore Project URL, navigate to your project in Procore and copy the full URL displayed by your browser

13. Facility Grid will connect to Procore and retrieve project information.  Confirm the connection.

NOTE: If you receive the message “Something went wrong. Verify credentials and permissions and try again”, please make sure both URLs are correct, and that on the Procore side, the project is added to the list of permitted projects under the Facility Grid app’s “Permissions” section.

14. You will then see the following status popup, that will automatically close when the connection is completed.

15. If the connection status says “Connected”, you will then be prompted to navigate to the Issue Types tab to complete the setup.

16. On the Issue Types tab, click on the Issue Types you wish to sync with Procore.

Then in the Edit Issue Type popup, toggle on the “Sync with Procore” option.

17. After toggling the “Sync with Procore” option, you see the following prompt asking you to confirm the synchronization process for this Type.

Then in the Edit Issue Type popup, click “Save” at the bottom.

18. You should now see the “Sync with Procore” column now say “Yes” for the Issue Type you just enabled.

19. Repeat steps 16-17 for any additional Issue Types you wish to sync with Procore.

Depending on the size of your project, it may take several minutes for the issues to show up in Procore. Facility Grid will display the “Currently synchronizing…” message until the process is completed. You will also see this message while the real-time sync is in progress.
